Scheduled processes available in ASSURE
An ASSURE system administrator can set up automatic schedules that run at regular intervals or "on-demand".
Important
If more than one schedule is configured to run at the same day and time, only one will run successfully. For the others, a failure message is written into the schedule's SummaryReport.txt file:
This scheduled task could not run, as another of the same type (Schedule Type) was also configured to run at the same time.
The following types of schedule are available:

Annual Fee
Sends a letter to an applicant reminding them that the annual fee for their licence will soon become due. If the licence is public-facing, the letter can include a link to a draft Licence (Annual Fee) application in ASSURE.

Asset Notification Email Alert
Sends emails to registered public users who want to track the progress of selected Asset applications.

Building Control Notification Email Alert
Sends emails to registered public users who want to track the progress of selected public Building Control Enforcement applications.

Bulk Worksheet Deletion
Deletes all Public Protection worksheets of that have not been updated for more than a retention period that is dependent on the worksheet type.

Citizens Advice Connector
Looks for messages originating from the Citizens Advice customer service and uses these to create or update corresponding Enquiry worksheets in ASSURE.

Council Tax Interface
Creates Empty Homes worksheets using information imported from your authority's Council Tax system.

Delete Applicant Drafts
Deletes any draft public-facing Public Protection worksheets that have not been submitted within a specified number of days after their creation.

Delete Building Control Application Drafts
Deletes any draft public-facing Building Control applications that have not been submitted within a specified number of days after their creation.

Delete Enquiry Application Drafts
Deletes any draft public-facing Enquiry and Complaint applications that have not been submitted within a specified number of days after their creation.

Delete Planning Application Drafts
Deletes any draft public-facing Planning applications that have not been submitted within a specified number of days after their creation.

Empty Homes Update Routine
Ensures that all in-progress Empty Homes worksheets are kept up to date according to how long the properties have been empty and also in response to changes to Empty Homes parameters, code tables, and linked Housing Grant/Loan worksheets.

FSA Food Registration Import
Imports food registration data from the FSA's Register a Food Business database and uses it to create Food Business applications.

Infectious Disease Import
Imports Notification of Infectious Disease (NOID) data and uses it to create Infectious Disease worksheets.

Inform Officer For Legal Agreement
Creates diary entries for, and sends emails to, the Implementing Officers of the clauses of Legal Agreement applications when certain milestones relating to those clauses, or their financial transactions, are reached.

NEC DM Scheduled Retry
Actions any pending requests to upload or delete documents that have been queued while NEC Document Management is unavailable.

Licence Checker
Looks at licences to see if the information they contain has recently been checked by a particular external licence checking service. If not, the schedule creates an in-progress Licence application with which the responsible officer can check the status of the information and if necessary request the licence holder or applicant to provide any missing or updated information.

Link Licences To MyAccount
For a given public-facing Licence type, sends a letter to the primary applicant of each current licence of that type that is not linked to an ASSURE user account. When an applicant responds to this letter by following the URL it contains, their account becomes linked to that licence.

LLPG Updates
Takes updates from your authority's Corporate LPG and loads them into the ASSURE gazetteer.

Online Register Alerts
Sends emails to registered public users who want to be notified of new public Licence applications in their area.

Planning GIS Alerts
Sends emails to registered public users who want to be notified of new public Planning applications in their area and any subsequent changes. This also applies to Planning Enforcement and Appeal applications.

Planning Notification Email Alert
Sends emails to registered public users who want to track the progress of selected public Planning applications. This also applies to Planning Enforcement and Appeal applications.

Renew Licence
Sends a letter to an applicant reminding them that their licence is due for renewal. If the licence is public-facing, the letter can include a link to a draft Licence (Renewal) application in ASSURE.

Scottish National Database
Extracts food hygiene and standards data from ASSURE and uploads it via the Scottish National Database (SND) interface to Food Standards Scotland (FSS).

Subsistence Charge
Sends a letter to an applicant reminding them that the subsistence charge for their environmental permit will soon become due. If the permit is public-facing, the letter can include a link to a draft Environmental Permit (Subsistence Charge) application in ASSURE.

UKFSS Interface
Looks for XML files originating from the UK Food Surveillance System and uses this to create or update corresponding Sample worksheets in ASSURE.

Update Document
Sends a letter to an applicant reminding them that a document required for their licence or environmental permit is due to expire, and so must be updated. If the application is public-facing, the letter can include a link to a draft Licence (Update Documents) or Environmental Permit (Update Documents) application in ASSURE.

Update Legal Agreement Status
Automatically updates the statuses of Legal Agreement applications and their clauses.
Note
A Business Intelligence (BI) standard report, Scheduler Monitoring, enables an authority user to review the summary reports produced by any of the ASSURE Public Protection schedules.
