Mapping departmental areas to geographic areas
Adding a new departmental area

On the System Administration screen, under General, click Street Areas.
The Street Areas screen appears.

Select Create Department / Areas.
A list of current departmental areas appears.

Click ✚ Add more.
The Add Configure Department / Department Area dialog opens.

Select the required Department and Department Area.
This combination cannot have been defined before.

Drag the geographic areas from the Available Geographic Areas list to the Selected Geographic Areas list.
These lists are automatically sorted into alphabetic order.

Click OK.

Click Save.
Editing or removing a departmental area

Click Edit to edit a departmental area.

Click
Delete and confirm to remove a departmental area.
Removing departmental areas from properties and organisations in bulk
ASSURE can clear the Departments / Areas section in all in-area Property and Organisation records.

On the System Administration screen, under General, click Street Areas.
The Street Areas screen appears.

Select Apply Street Area codes to Properties / Organisations.

Select Clearing Department / Area codes.

Click Continue.
Optionally, click OK to dismiss the progress bar (the process continues in the background).

Click OK to acknowledge the completion of the process.
Adding departmental areas to properties and organisations in bulk
Updating from Trading Standards Inspection summaries
ASSURE can examine each current Trading Standards Inspection summary to see whether the associated Property or Organisation record already includes a departmental area for a specified Department and the Area identified on the Inspection Scores tab of the inspection summary. If not, ASSURE adds this departmental area to the Departments / Areas section on the Address tab of the record.

On the System Administration screen, under General, click Street Areas.
The Street Areas screen appears.

Select Create TS Department / Areas.

Select the required Department.

Click Continue.
Optionally, click OK to dismiss the progress bar (the process continues in the background).

Click OK to acknowledge the completion of the process.
Updating from Street records
For each in-area Property or Organisation record, ASSURE can examine the associated Street record to see if it has departmental areas and if so which parts of the street are in those areas. Based on the building number of the Property or Organisation record, ASSURE will then update the Departments / Areas section on the Address tab with the appropriate departmental area.

Adding commercial areas to properties and organisations in bulk
For each in-area Property or Organisation record, ASSURE can decide whether it is a commercial premises and then examine the associated Street record to see if it has commercial areas and if so which parts of the street are in those areas. Based on the building number of the Property or Organisation record, ASSURE will then update the Commercial Area field on the Property Use tab with the appropriate commercial area.
ASSURE uses various criteria to identify a commercial premises, including whether it has a defined main use, HSW classification or trader type, or whether there is a current food registration at the premises.

The Street Areas screen appears.

Select Apply Street Area codes to Properties / Organisations.

Select Applying codes to Commercial Area.

Click Continue.

Adding geographic areas to properties and organisations in bulk
For each in-area Property or Organisation record, ASSURE can examine the associated Street record to see if it has geographic areas and if so which parts of the street are in those areas. Adding departmental areas to streets in bulk
ASSURE can examine each Street record for geographical areas and automatically add the corresponding departmental areas if they are not already there. ASSURE assumes that the same part of the street that is in the geographic area is also in the departmental area.

On the System Administration screen, under General, click Street Areas.
The Street Areas screen appears.

Select Create Department / Areas.

Click Update.

Permissions
To access this feature you need the ADMIN-ACCESS-DATA security key. To update Property and Organisation records you require the LPG-GAZ-UPDATE key and for Street records the LPG-STREET-ACCESS key.
