Maintain global merge fields

Global merge fields are used only with NEC Communications Suite (NCS) templates. They define text and picture merge fields that are specific to your authority. For example, the authority's logo or data protection statement. Global merge fields supplement the merge fields that are already available in ASSURE.

The names of global merge fields all start with GMF_, so that they are listed together in the Insert Field plugin of the Document Editor.

Creating a global merge field

  1. On the System Administration screen, in the General section, click Global Templates.

    The Global Templates screen appears.

  2. Click Create Global Merge Field.

    The Configure Global Merge Field screen appears.

  3. Specify the Name and Description of the new field.

    Remember that the name must begin with GMF_.

  4. Do one of the following:

    • For a text merge field, select Type: String and enter the text in the Data field.

      The text can be multiple paragraphs.

    • For a picture merge field, select Type: Picture and then click Choose file. Select the image file you want and click Open.

  5. If you want to make this field available for use in templates, tick Enabled.

  6. Click Save.

  7. When you have finished creating fields, click Save Details.

Editing a global merge field

  1. On the System Administration screen, in the General section, click Global Templates.

  2. At first, the Global Templates screen shows only enabled merge fields. Select Disabled if the merge field you want to edit is currently disabled.

  3. If all you want to do is enable a disabled field, or disable an enabled one, just use its Enabled? checkbox and then click Save Details.

    If you want to change the description or content of the field, click Edit.

  4. Edit the field as required.

    You cannot change the field name.

  5. Click Save.

A global merge field cannot be deleted; it can only be disabled.
