Merge codes

Codes cannot be deleted while they are still being used somewhere in ASSURE. However, for some Public Protection code types, if an old code has been replaced by a new code, you can merge the old code to the new code everywhere it is used. The old code is then deleted automatically.

The following code types can be merged:

  • Action

  • Document Type

  • Food Business Type

  • FSA Enforcement Type

  • Inspection Activities

  • Officer

  • Outcome

  • Test / Substance

  • Title

It's best to make these changes when the system is not being used, to avoid any locked records. You can save a number of changes and then process them later.

Note

When a Document Type code is merged, all documents in NEC Document Management (NEC DM) that use the old document type are re-indexed to use the new type. This can take several minutes to complete.

The old document type must be manually deactivated or deleted in NEC DM. For more information, see the NEC Document Management User's Guide.

Merging codes

  1. On the System Administration screen, under General, click Code Merges.

    The Code Merges screen appears.

  2. In the Select Code list, select the code type whose codes you want to merge.

    ASSURE lists any saved merges that have not yet been processed.

  3. To add a new code merge to the list:

    1. Click Add more.

      A Code Changes dialog opens.

    2. Select the Old Code that is no longer required.

      You can't select the same code more than once.

    3. Select the New Code which replaces it.

    4. Click OK.

    Repeat as required. Click Edit to change a code merge, or red cross icon Delete and confirm to remove one.

  4. Click Preview.

    If any of the old codes are in use anywhere, a Code Changes dialog opens. The dialog lists every database table in which the selected code type is used, and the number of records that would be updated in each table.

    • Click Update if you are ready to make these changes now.

    • Click Cancel otherwise.

  5. Click Save and confirm if you want to save the listed merges for later processing.

    This list is visible to you and any other system administrator.

  6. Click Cancel to return to the System Administration screen.

    Any merges that you haven't saved are discarded.
