Define additional names for a property or organisation
What are additional names?
Multiple user-defined names, each of up to 36 characters, can be given to any property or organisation whether in-area or out-of-area. These names can be used throughout ASSURE to search for the premises as if they were part of the address. They can also be used in the Reference field of General Search.
A name can be just an ordinary name, or either of the following types:

Property search reference
A name used as a property search reference can be either an AMES Reference or a Council Tax Reference. A premises can have at most one of each.

Worksheet search reference
A name used as a worksheet search reference maps to one of the (up to) six Alternative Reference fields on the Progress tab of the worksheet. An example might be a Housing Account number.
When a new worksheet is created or first opened by an authority user, the worksheet search references of the premises to which the worksheet relates are used to populate the corresponding Alternative References. However, manually-entered references take precedence over these worksheet search references. Also, for a post-issue Licence, Environmental Permit or Food Business worksheet, the current picture's Alternative References are used instead.
Ordinary names can be used throughout ASSURE to search for the premises as if they were part of the address. Property and worksheet names can be used in the Reference field of General Search, although here they must be entered exactly as defined.
Note
The availability of the AMES (Animal Health & Welfare Management and Enforcement System) Reference currently depends on the Admin > System Configuration > Trading Standards > AMES > General tab > Enable AMES Property Search Field checkbox being ticked in M3PP.
Adding a name
A name can be just an ordinary name or a property search reference or a worksheet search reference. At most one AMES Reference and one Council Tax Reference can be defined. The same Alternative Reference cannot be used more than once.

Find and open the property or organisation.

In the Details For {Address} screen, click the Address tab.

Under the Names section, click ✚ Add more.
The Additional Names dialog opens.

In the Name field, type a unique name, alias, or reference number for this premises.

To use this name as a search reference, do either of the following:

For a property search reference, in the Property Search Ref list select either AMES or Council Tax Ref.

For a worksheet search reference, under Worksheet Search Ref:

In the Type of Application list, select an application.

In the Worksheet Reference list, select the Alternative Reference to which the name will be mapped.

Otherwise, the name is an ordinary name.

Click OK.
Editing or removing a name

Click Edit to change an existing name.

Click
to remove a name.
These changes do not affect any existing worksheets that use the name as an Alternative Reference.
