Merge one property or organisation with another

You can merge a property or organisation (the source) to another property or organisation (the target). Note that a property can be merged with an organisation, and vice versa. In-area and out-of-area properties and organisations can be merged.

ASSURE automatically moves information and references from the source to the target when there are no potential conflicts. For example, any worksheets that refer to the source will move to the target. Also any attached documents. If any persons in the Contact directory show the source as their address, they are moved to the target address. However, where there are actual or potential conflicts you must choose what to keep.

ASSURE deletes the source property or organisation after the merge.

Important

ASSURE creates a new Property record at the same address if this is necessary to preserve an actual or potential link to your Corporate LPG, unless you explicitly choose to break the link and have permission to do so. This applies only to in-area properties.

Choosing what to keep

The source and target can both be referenced by, or include, the following:

  • HMO Details records

  • PWS Details records

  • Inspection summaries

  • Licence current pictures

  • Environmental Permit current pictures

  • Contaminated Land Receptor and Site records

  • Department/Area configuration

  • Trading Standards activity templates

  • Trading Standards additional uses

Closed records are unproblematic, but where there are actual or potential conflicts you will need to decide whether to keep those of the source, the target, or (where permitted) both.

There may also be conflicts between the fields of the source and the target. For example, if they have a different values in the Authority field, you must choose which one to keep, or leave the field blank.

Notes

Some records and fields are not (yet) supported in ASSURE but are shown to maintain compatibility with M3 Public Protection.

Merging sub-tabs of a Property or Organisation record is not supported in this release.

Merging a property or organisation

  1. On the menu bar, click Search and then General Search.

  2. If you know the Corporate UPRN, Property Reference or Organisation Reference of the source property or organisation, type it in the Reference field. Otherwise, use Find Address.

  3. Click Search.

  4. Find the source Property or Organisation record in the search results and click its link in the Reference column.

    The Details For {Address} screen appears.

  5. On the Summary tab, click Manage and select Merge.

    The Merge screen appears.

  6. Use Find Address to find the target property or organisation.

  7. If there are any Duplicate Records, select whether to keep those of the Source, the Target or (where permitted) Both.

  8. If there are any Duplicate Fields, select whether to keep the values of the Source, the Target or (if not mandatory) Neither.

  9. If present, tick the Delete the source LPG Property checkbox if you want to unlink the source property's address from your Corporate LPG.

  10. Click Merge and then Continue to confirm.

    The source Property record remains open if it still exits, otherwise you are returned to the Home screen.
