Search for Land Charges Search requests in ASSURE

You can search ASSURE for Land Charges Search requests.

  1. On the menu bar, click Search and then General Search.

    The General Search screen appears.

  2. Enter as many search criteria as you can.

    Description

    Receipt No / Ref

    A receipt reference on a fee transaction, or a VAT receipt number.

    Online Channel

    The system from which the search originates.

    • All

    • NLIS (National Land Information Service)

    • SSS

    • Postal

    Date Type*

    The type of date by which applications are to be searched; for example: Received Date.

    • Received Date

    • Completed Date

    • Printed Date

    • Created Date

    • Updated Date

    Includes only applications on or after the Date From date, and on or before the Date To date.

    Click Add Row to add this date criterion.

    Additional Filter*

    Either of the following filters:

    • Search Type

    • Status

    Click Add Row to open an Additional Filter dialog in which you can select one or more instances of the selected filter type.

    * You can specify multiple dates and filters. Click red cross icon Delete Row to remove a date or filter.

    Tip

    If no records are found, try adding a date criterion with a likely range.

  3. Click Search.

    The search results are tabulated and paged. You can vary the number of results shown on each page (either 10, 20 or 50 results).

    You can change and reorder the columns in the table by using the Cog menu that appears immediately above and to the left; ASSURE remembers your choices the next time you log in. You can also sort the results by any column, but ASSURE reinstates the default sort order at the next search.

    The Search Number, or a Property Reference.

    The cover address of the Land Charges Search request.

    Job Type

    The search type, or LPG Property for a Property record.

    Status

    The application's current status.

    Name and Address

    The name and address of a person who is referenced by the application, depending on who or what was searched for. Typically the first interested party.

    Deactivated Date

    When the application was deactivated.

    Validated Date

    When the application status became Valid.

    Expiry Date

    When the search's questions should be answered (target date).

    Created Date

    When the application was created.

    Management Area

    The Local Land Charge (LLC) area.

    Online Channel

    The originating system; one of NLIS, SSS or Postal.

    Online Reference

    A reference number assigned by the originating system.

    VAT Receipt Number Generation

    Whether a VAT receipt number is automatically generated for this search.

    VAT Receipt Number

    The auto-generated VAT receipt number.

    Alt. Ref. Number

    An Alternative Reference for this application.

    If you are not permitted to view a particular application, only its Reference and Details fields are populated.

  4. You can select one or more search results and then use the buttons below the table.

    • Tick the checkboxes of individual results to select them.

    • Click Select All to select all the results.

    • Click Select Displayed to select the results on the current page.

    • Click Clear All to de-select all results.

    If you select a Property record you can use the Map to edit the property's geometry (position and boundary).

    Operations on the search results

    Description

    Create Letters

    Opens the Documents screen in a separate browser tab, allowing you to create letters or other documents based on the selected items, provided that they all use the same document group.

    Actions

    Available only if at least one search is selected:

    • Activate: Activates the selected deactivated searches, effectively reversing the effect of deactivating them.

    • Cancel Search: Cancels the search, or deletes it if it is new.

    • Complete Search: Changes the status of the search to COMPLETE where possible.

    • Deactivate: Deactivates the selected active searches, effectively making them uneditable and unusable.

    • Delete: Deletes the selected deactivated searches, removing them completely from ASSURE and optionally removing any associated documents from NEC Document Management.

    • Re-process Search: Reverts the status of the search, depending on its current status.

    • Search Reconciliation: Reconciles the search, provided that it is in a reconcilable state.

    • Departments: Enables a departmental user to respond to a (partly) reconciled search.

    • Send Email: Emails the Search Report to the enquirer with a covering letter.

    • Print: Displays the Search Report if the status is PRINTED or COMPLETE.

    • NLIS Hard Copy: Causes a Hard Copy message to be sent back to the NLIS Hub and sets the status to COMPLETE. An authority user is then expected to return the Search Report either by post or electronically.

      Available only for LC Search requests that originated from NLIS and where the status is PRINTED.

    Excel

    Exports the selected results to either a Microsoft Excel file (GeneralSearchResult.xlsx) or a PDF file (GeneralSearchResult.pdf).

    Note: Before exporting to PDF, reduce the number of displayed columns to the minimum required, as the page size is limited to A4 landscape.
