Edit a user's details
A system administrator can edit any other user's details, temporarily lock their account, or deactivate it.
Any changes that you make in the My Details screen are not immediately reflected in the User Setup screen. You can refresh the User Setup screen by changing one of the filters.
Editing a user's details in ASSURE Land & Property

On the System Administration screen, click Users.
The User Setup screen appears, initially listing all active ASSURE users.

Optionally, use the Select the Role of the User box to filter the list by role:

Applicant (includes any registered public user)

Optionally, use the User Status box to filter the list by status:

You cannot edit Deleted account details.

Find the user whose details you want to edit, and click their Name link.
A My Details screen appears showing the user's account details.

Click Amend My Details to make these details editable.

Under Personal Details, change the user's account details as required. The editable details depend on the user's role.

For the Agent, Applicant, or Local Consultations role:

Description
Title, First Name* and Last Name*
The name of the user.
Work Telephone Number*
The user's telephone number.
Mobile Number
The user's mobile number.
Email Address*
The user's registered email address.
Note: This cannot be edited, unless the user has only the Local Consultations role.
Job Title
The user's job title.

For the Authority User or System Administrator role:

The name of the user.
Work Telephone Number*
The user's telephone number within the authority.
Mobile Number
The user's mobile number.
Email Address⊘
The user's registered email address.
Job Title
The user's position within the authority.
BO User Name⊘
The user's unique M3L&P back office user name.
Dashboard
The user's default Officer Workload dashboard.
Officer
Whether the user is an officer.
If already ticked, this cannot be changed. Otherwise, on saving, ASSURE will create a corresponding Officer record with the user's full name, email address, and first available telephone number.
NEC DM User ID*
The ID of a corresponding user in NEC Document Management.

You can change this to create a new NEC DM user or map to an existing NEC DM user.

You cannot change the BO User Name and Officer fields of your own account.

For all user roles:

Description
Account Locked
Whether the user's account is locked.
While a user's account is locked they cannot log in to ASSURE. This can occur if the user enters an incorrect password multiple times. A system administrator may also lock an account temporarily (for example, during system upgrades).
Deactivation Date and Deactivation Comment
The date on which the user's account is due to be deactivated (this can be today's date) and the reason for the deactivation.
You cannot deactivate your own account. Exceptionally, if you need to reactivate an account, simply remove the deactivation date.

Under Address Details, use Find Address to change the user's address.

Under Management Areas, if present, specify the following:

Under Roles, you can change a user's roles, subject to these constraints:

Someone with the Applicant role cannot also have the Agent role (and vice versa).

Someone with the Local Consultations role can also have the Applicant or Agent role.

Someone with the Authority User role cannot also have the Applicant or Agent role.

Someone with the System Administrator role must also have the Authority User role.
It is unusual for someone with the Authority User or System Administrator role to also have the Local Consultations role, but this is allowed.

For someone with the Authority User or System Administrator role, under Notification, specify which pop-up notifications are enabled for this user.

Document Awaiting
There is a document in the queue awaiting your authorisation.
Document Rejected
A document that you requested has not been authorised.
Document Completed
A document that you requested has been produced and distributed.
Document Errored
A document that you requested has encountered an error.
NEC DM Unavailable*
ASSURE has lost contact with either the NEC Document Management repository or the Document Management Engine (DME).
Application Update Notification
Somebody has updated a Building Control or Planning application for which you are the Case Officer.
Comment Received
Somebody has submitted a comment on a Planning application for which you are the Case Officer.
* Available only for system administrators. This also enables the Notifications > Pending Document to Upload menu command.
Irrespective of which pop-up notifications are enabled, all of the user's notifications are always available on their Notifications screen.
